What has to be on a tax invoice
The ATO's requirement depends on the size of the sale. For a taxable sale under $1,000, the invoice must show enough information to work out all seven of these:
- That the document is intended to be a tax invoice.
- The seller's identity.
- The seller's ABN.
- The date the invoice was issued.
- A brief description of the items sold, including quantity and price.
- The GST amount payable — shown separately, or as a statement that the total price includes GST where the GST is exactly one-eleventh of the total.
- The extent to which each sale is a taxable sale.
Sales of $1,000 or more must also show the buyer's identity or ABN. The checklist beside the form tracks all of these as you type and tells you which one is missing.
When you must supply one
If a customer asks for a tax invoice you must provide one within 28 days, unless the sale was $82.50 including GST or less. Keep in mind that a customer needs a valid tax invoice before they can claim a GST credit, which is why they ask.
Mixed taxable and GST-free sales
If an invoice covers both taxable and non-taxable items, it must clearly show which items are taxable, the GST payable on those items, and the total. Unticking the GST box on a line here marks it as non-taxable on the invoice, and the checklist flags that the invoice contains a mix.
GST rounding on a multi-line invoice
GST is calculated and rounded to the cent. On an invoice with several lines there are two legitimate approaches: round the GST on each line and add them up, or work out GST once on the subtotal. They can differ by a cent. This generator uses the per-line method — the same as most accounting software, so your figures should agree — and it tells you when the subtotal method would have produced something different, so a one-cent discrepancy from a supplier is explainable rather than mysterious.
About the PDF
The PDF is written directly by this page's own JavaScript — a small amount of code that assembles the file in memory, with no PDF library and no third-party service. That is why the download works with no internet connection and why your client's name, your bank details and your prices never leave your computer.
